Written guide

The idea

Received quantity equals accepted plus rejected. Accepted goods go to the Accepted Warehouse; rejected goods go to a separate Rejected Warehouse so they stay out of sellable stock. Goods you send back are a Purchase Return, a purchase receipt with Is Return ticked.

The screens use example data from a demo company that buys vinyl flooring.

Step by step

Step 1. Count the good

  1. Open the draft purchase receipt and find Accepted Quantity in the items table (here 1,800 square feet).

Step 2. Count the bad

  1. Rejected Quantity holds what failed (here 200). Open the row: Received Quantity (2,000) is the two added together.

Step 3. Pick the rejected warehouse

  1. Under Warehouse and Reference, accepted goods go to the Accepted Warehouse (Stores) and rejected goods to the Rejected Warehouse.
  2. The rejected warehouse is an ordinary warehouse your administrator sets up.

Step 4. Return the rejected goods

  1. On a submitted receipt, open Create and choose Purchase Return.
  2. A return is a receipt with Is Return ticked. The line box Return Qty from Rejected Warehouse takes the quantity from the rejected warehouse.

What you may see on your own site

  • Your warehouse names and quantities are your own.
  • Your administrator decides which warehouse is the rejected one.

Common mistakes

  1. Entering a rejected quantity without a rejected warehouse.
  2. Returning from Stores when the goods sit in the rejected warehouse.
  3. Making a return against a receipt that is still a draft. Submit it first.
